How to Manage and Add Tasks to a Matter

The Matter-Specific Task List provides a dedicated, focused view of all outstanding and completed work which is directly associated with a single client matter. This feature allows you to manage tasks which are specific to the matter you are currently viewing, ensuring all relevant actions are tracked within the correct file. While the majority of procedural tasks are scheduled automatically via automated workflow, which is the recommended best practice, the option to add a manual task is best reserved for logging critical reminders and managing supplementary, matter-specific actions which fall outside the standard automated workflow.

Accessing the Matter-Specific Task List

  1. Navigate to the specific Matter for which you wish to view tasks.

  2. In the main Matter navigation menu, click the Tasks tab.

    1. The Matter-Specific Task List will open, displaying all tasks which are associated with this matter.

Filtering and Viewing Tasks

The filtering and viewing functionality of the Matter-Specific Task List remains consistent with the general Task List.

  1. To quickly narrow the list by status or assignee, use the quick-filter buttons located above the task list, which include My Tasks, To-do, In progress, and Completed.

  2. To access the advanced filtering options, click the Filter button located in the upper-right corner of the task list.

  1. Select the desired criteria from the 'Filter tasks' dialogue box, which includes Priority, Status, Due Date, Category, and Assigned by.

  2. Click the Apply button at the bottom of the dialogue box.

    1. The task list will immediately update to show only those tasks which match your selected criteria.


Switching Views (List vs. Kanban)

You can view your tasks in one of two formats: the default List view or the Kanban view, which is a visual card-based board organised by status.

  1. To switch to the visual card format, click the Kanban button in the centre of the toolbar.

    1. The Task List changes to a board divided into columns for To Do, In Progress, and Completed tasks.

  1. To update a task's status in the Kanban view, click and hold the task card, then drag it to the desired column (To Do, In Progress, or Completed).

    1. The task status is updated and a confirmation message will appear briefly in the lower-right corner.

  2. To return to the traditional table view, click the List button.

Completing Tasks and Sending Associated Emails

You can mark any outstanding task as complete directly from the Task List by updating its status. For tasks which involve sending an email, there is an additional step to ensure the email is correctly generated and sent.

  1. To view only tasks which have been finalised, click the Completed button above the task list.

  2. To mark a task as complete, locate the task in the list and click the dropdown icon located under the Status column for that task.

  3. Select the Completed option from the dropdown menu to update the status. A confirmation message will appear briefly in the upper-right corner.

  4. For Email Tasks: If the task is an email, click the hyperlinked task heading to open the full task window.

  5. Within the task window, you will have the option to amend the task status, and there will be an additional Send Email option.


  1. Click the Send Email option.

    1. The system will launch a new email window, automatically pulling through the associated email content.

  2. From here, you can amend the email content and recipients, and attach correspondence from the matter before finally sending the email.

Adding a Manual, Ad Hoc Task

The ability to manually add a task is essential for logging reminders or one-off actions which are not covered by the matter's established workflow.

  1. To add a new, matter-specific task manually, locate and click the + Task button in the upper-right corner of the task list.

The 'Add new task' dialogue box will open on the right side of the screen.

  1. Enter a clear, action-oriented title in the Task heading field.

  2. Select the appropriate task Status from the dropdown menu (e.g., To Do).

  3. Select a Category for the task from the dropdown menu, such as Simple or Document.

  4. Specify the required completion date using the Due Date field and, optionally, the Estimated Time in minutes.

  5. Use the Assigned to field to allocate the task to the relevant team member or user.

  6. Enter any necessary context or detail in the Description field.

  7. Click the Add button at the bottom of the dialogue box.

    1. The newly created ad hoc task is immediately added to the Task List for the current matter.
